Chapter 32

Voice commands in meetings

On this page

While a meeting is transcribed, hosts can capture things by voice instead of typing: say "Coviqo, note: check the budget by Friday" (German: „Coviqo, Notiz: Budget bis Freitag prüfen“) and Coviqo notes it as a suggestion. Nothing is created behind your back – after the meeting the hosts decide what to keep. Available wherever transcription is available.

Saying a command#

A command has three parts: the wake word, the command word and the content.

You say Coviqo suggests After accepting
"Coviqo, note: …" (Notiz) a note the text is added to the meeting notes with time and speaker
"Coviqo, task: …" / "to-do" / "action item" (Aufgabe, To-do) a task a task in the meeting's room (or the space)
"Coviqo, decision: …" (Entscheidung, Beschluss) a decision an entry in the decision log
"Coviqo, bookmark: …" / "mark" (Markierung, Merken) a bookmark a bookmark of this moment in the transcript and recording
  • You can pause after the command word: "Coviqo, note." – whatever you say next (within about 8 seconds) is the content.
  • For tasks, Coviqo picks up who and by when: "Coviqo, task: revise the offer for Bob by Friday" (German: „für Bob bis Freitag“). The person must be in the meeting and the name must be unique; dates like "tomorrow", "Friday", "next week", "October 3" work. You can correct everything in the review.
  • Coviqo is forgiving with how the wake word is recognised ("Kovico", "Co-Vico" also work).
  • Saying the same command twice within a minute creates only one suggestion.

Who can use it#

  • The organizer and co-organizers of the meeting – always.
  • Space owners, administrators and people who manage all meetings of the space.
  • Members whose role has the permission Use voice commands (Aktivierungswörter nutzen, space settings → Roles).

What anybody else says is ignored – no suggestion, no message.

During the meeting#

  • The call shows Voice commands active (Sprachbefehle aktiv) to people who may use them while the transcription runs.
  • When your command was recognised, a message appears – for example Notiz erkannt: … – with Undo (Rückgängig). Within 30 seconds you can take it back.
  • The notes panel lists everything recognised under Suggestions (voice commands) (Vorschläge (per Sprachbefehl)): who said it, when, the type and the text, with a link to that moment in the transcript. The list is read-only during the meeting.
  • Mark note (Notiz markieren) – in the More menu of the call, or press Alt+M (for the same people): it turns what was said in the last 20 seconds into a bookmark suggestion, without saying anything.

After the meeting#

Open the meeting → Results (Ergebnisse). Voice suggestions are marked Voice command · <speaker> (Sprachbefehl). Hosts accept, edit or reject them and publish the selection – exactly like the AI suggestions:

  • notes are added to the meeting notes,
  • tasks and decisions are created,
  • bookmarks appear in the list Bookmarks (Markierungen) on the results tab, with links to the transcript and the recording.

Suggestions that nobody confirms are hidden after 30 days.

Settings#

  • Per meeting: the organizer switches voice commands on or off in the scheduling dialog, tab Aufnahme & KI (also saved in meeting templates). They need the transcription.
  • Per space: space settings → AI (KI) → Aktivierungswörter in Meetings: switch the feature off for the space or change the command words per language (add, remove, switch off single words).
  • Platform: the operator decides whether the wake word ("Coviqo, …") is required. Without it, the command word must be followed by a short pause or punctuation ("Note: …").

Privacy#

Voice commands only look at the transcript that is made for the meeting anyway – no extra recording or processing of your voice. A suggestion stores who said it, when, and the text. Undone commands are deleted.
