Board meetings with agenda and minutes
Schedule the board meeting as a video meeting in your space – once or as a series. Put the agenda into the description. Coviqo sends the invitation with a join link, and the meeting shows up in everyone’s calendar.
- Polls during the meeting: 2 to 10 answers, optionally anonymous – then not even the hosts see who voted what.
- Notes in the call that everybody writes together.
- Meeting report as PDF on every plan: cover, participants, agenda, decisions, tasks and notes in one document – a good starting point for your minutes.
- Recording, transcript and AI summary from Community Pro – see pricing.
- Next meeting: open tasks and decisions to revisit are proposed for the agenda of the follow-up meeting.
Whether a vote in an online meeting is valid depends on your club’s statutes. Coviqo provides the poll, not the formal procedure.
Reach members without a group chat
A community space starts with an announcements room in which only the board posts, a room for conversation, a voice room and an events room. You can rename and change all of it.
- Teams for departments or sections, e.g. youth, football, volunteers. Team leads publish team announcements, and everyone in the team is notified.
- Roles decide who may do what – board, trainers, members, guests.
- Rules and onboarding questions for new members. An answer can give a role and open the matching rooms.
- Files and notes per room, e.g. for statutes, forms or the training plan.
Events with registration and reminders
Plan the general assembly, the summer party or a training camp in the calendar. Members answer Going, Maybe or Decline. For events with limited space, switch on registration and set a capacity – when all seats are taken, the event shows Event full.
- Reminders 5 minutes up to 1 day before, by app, push or e-mail – as each member chooses.
- An event can have an online meeting attached, so people who can’t come join from home.
- Add to calendar (.ics) puts a single event into any calendar app.
Voice rooms as the club house
A voice room is always open. Members see who is inside and join with one click – no meeting link needed. Good for the regulars’ table, a quick question to the treasurer or the evening after training.
For larger rounds, switch a voice room to a moderated room: only speakers talk, everybody else listens and raises a hand to ask for the word.
Guests without a member account
Invite speakers, partner clubs or your accountant to a single meeting by e-mail or link. A guest who joins by link only sees this meeting. Their temporary access is deleted automatically 24 hours after the meeting ends.
For longer collaboration – say, with the association board – you can share selected rooms with external people, optionally with an end date. They need their own Coviqo account and see only those rooms.
Frequently asked questions
Do all members need an account?
Members of your space have their own Coviqo account. Guests who join a single meeting by link only enter their name – no account needed.
Can our club start for free?
Yes. The Free plan includes up to 300 members across all its spaces and voice rooms with up to 25 people. Recording and AI summaries start with Community Pro – see pricing.
Where is our data stored?
Coviqo is operated from Luxembourg and runs on servers in Germany. Some data can leave the EU, for example through the CDN or the payment provider – details are on Why Europe.
How do we get minutes out of a board meeting?
After the meeting, Download as PDF creates a meeting report with participants, agenda, notes, decisions and tasks. With Community Pro or higher you can add the AI summary and the transcript.
