Chapter 31

Meeting report as PDF

On this page

After a meeting you often need its results outside Coviqo – for minutes, for people who were not there or for your files. The meeting report puts everything you choose into one PDF in the Coviqo design: a cover with the key facts, a table of contents with page numbers and one chapter per part. Available on every plan.

Downloading the report#

  1. Open the meeting (Meetings → the meeting) once it has started or ended.
  2. Click Download as PDF in the header of the meeting (German UI: Als PDF herunterladen). The same button is on the Summary tab.
  3. Tick what the report should contain and click Download PDF (PDF herunterladen).
Part What it contains
Cover & key facts (Deckblatt & Eckdaten) title, date and time with time zone, duration, host, organisation / space, room, series appointment, number of participants, interpretation languages, description, link to the meeting
Participants & attendance (Teilnehmer & Anwesenheit) names, roles and replies; organizers also see when each person joined and left and how long they were there
Agenda agenda items and whether they are done
AI summary (KI-Zusammenfassung) overview, topics, decisions, open questions, action items with assignee and due date – labelled as AI-generated
Decisions & tasks (Entscheidungen & Aufgaben) the decisions and tasks that were published from the meeting
Bookmarks (Markierungen) the accepted bookmarks set with voice commands (Markierung, Notiz markieren): time in the meeting, who set it, the text and links to that moment in the transcript and the recording. Suggestions nobody accepted are never included; accepted voice notes are already part of the notes
Notes (Notizen) the meeting notes with headings, lists, checkboxes, bold / italic text and links
Transcript (Transkript) who said what and when; optionally including the breakout rooms
Chat the messages of the meeting chat
Polls & Q&A (Umfragen & Q&A) poll results as bars and the questions with their answers
File list (Dateiliste) name, size, who uploaded it and when – the files themselves are not in the PDF
Recordings (Aufnahmen) list of the recordings with duration – no video or audio
Breakout rooms (Breakout-Räume) rooms per round with the AI short summary
Whiteboards the boards with their preview picture

Pre-selected are: cover & key facts, participants, AI summary, decisions & tasks and notes. Bookmarks are off until you tick them. Transcript and chat can make the report long – the dialog shows the estimated size.

Transcript language. When the transcript is ticked you can choose its language. Besides the original language the list offers languages for which translations already exist (with the translated share, e.g. English (40 % translated)). Parts without a translation are printed in the original language. Tip: exporting the translated transcript once on the Transcript tab creates the translations.

Remember my choice (Auswahl merken) keeps your selection for the next report – only in this browser.

What you see is what you get#

The report contains only what you may read in Coviqo:

  • The AI summary and the transcript follow the visibility setting of the space (participants only, or everybody in the room).
  • Chat, notes, files and whiteboards need the matching room permissions; recordings follow the recording access of the meeting.
  • Join and leave times are only for organizers.
  • Bookmarks are for the organizers and participants of the meeting (like on the Results tab).

Parts you cannot include are greyed out in the dialog with the reason (No access, Nothing yet). In end-to-end encrypted rooms the chat, transcript, notes, files and whiteboards are encrypted on your devices – the server cannot put them into a PDF. They are greyed out (End-to-end encrypted); export them in the app instead.

Every page is marked CONFIDENTIAL (VERTRAULICH) and shows who created the report and when. The download is recorded in the audit log of the space (without any content). Please treat the PDF like the meeting itself and share it only with people who were allowed to see it.
