Chapter 33
Meeting health
On this page
Coviqo helps you keep meetings short and fair: a time budget per agenda item, a voluntary speaking-time statistic, a hint when a meeting might work better as a message, and – if you want – your weekly meeting load. Nothing here ever blocks you.
Time budget per agenda item#
- When planning a meeting (Meeting planen), click Add agenda (Agenda hinzufügen) below the invitees. Give each item a title and, optionally, minutes. Coviqo shows how much of the meeting you have planned („45 von 60 min verplant“) and warns when the agenda is longer than the meeting.
- Templates (Als Vorlage speichern) keep the agenda with its minutes.
- For existing meetings, edit the agenda on the meeting page – every item has a minutes field.
In the call a slim bar below the header shows the current item, e.g. Punkt 2/5 · Budget 2027 · 4:12 / 10:00:
| Colour | Meaning |
|---|---|
| green | within the budget |
| amber | 80 % of the budget used, or the last minute |
| red | over the budget |
Organizers and co-organizers move on with Next item (Nächster Punkt) – everybody sees the new item. The menu next to it jumps to any item or stops the timing. One minute before an item's budget ends, organizers get a gentle reminder. Five minutes before the scheduled end of the meeting everybody sees „Noch 5 Minuten bis zum geplanten Ende“.
After the meeting, the Results tab (Ergebnisse) and the PDF report show planned vs actual time per item.
Speaking-time statistics (voluntary)#
Available from Community Pro. Off by default – an organizer switches it on in the call menu: Show speaking-time statistics (Redezeit-Statistik anzeigen).
- Everybody in the call sees the notice „Redezeit wird für die Statistik gezählt.“ You are counted only from the moment you have seen it.
- Don't count me (Nicht erfassen) – your speaking time is not counted, what was counted so far is deleted. You can change your mind with Count me again (Wieder erfassen).
- Coviqo counts only how many seconds each person spoke (from who is speaking right now) – nothing is recorded and no speaking times are stored per moment.
- During the call, only organizers see the distribution – as neutral bars in percent. They see how many people are not counted, but not who opted out.
- After the meeting, organizers see the shares in the Results tab and the PDF report. Other participants see them only if an organizer switches on Show the shares to all participants (Anteile für alle zeigen).
- The numbers are deleted together with the meeting.
"Does this need a meeting?"#
While you plan a new meeting, Coviqo may show a hint card „Braucht das ein Meeting?“ – for example when the title sounds like a status update or an announcement, when there is no agenda, or when many people are invited for a short slot. The card suggests:
- Send as a voice / video message (Als Sprach-/Video-Nachricht senden) or As a poll (Als Umfrage) – opens the chat of the room you picked; the video message and the poll are in the message field there.
- Add agenda (Agenda hinzufügen).
If AI is allowed in your space, a short AI assessment may add to the hint (labelled as such). Close the card with × – you can always save the meeting anyway.
Below the agenda, the dialog also shows the person hours of the meeting, e.g. „≈ 6 Personenstunden (6 Personen × 60 min)“.
Your weekly meeting load#
On Meetings, below the list, the card Meeting load (Meeting-Last) explains itself until you switch it on (Turn on / Einschalten). Then it shows your meeting hours this week, how many meetings you have and how many of them have no agenda. Only you can see these numbers; Coviqo computes them when you open the page and does not store them. Turn it off again in the same card.
