Chapter 12
Community features
On this page
Five features make a space feel like home for a community: your own emojis and stickers, a soundboard for voice rooms, onboarding questions and rules for new members, join codes for single rooms and the space directory.
Custom emojis and stickers#
Every space can have its own emojis and stickers – the team logo, inside jokes, the mascot.
Using them
- In the chat, open the emoji button in the message field and switch to the tab Space emojis (German: Space-Emojis). Picking one inserts
:name:into your message; everybody in the space sees the picture. - Reactions work the same way: in the reaction picker choose Space emojis.
- Stickers are bigger pictures that are sent as a message of their own: click the sticker button next to the emoji button and pick one.
- Custom emojis and stickers belong to their space. In direct messages and in other spaces
:name:simply stays text.
Adding them (Space settings › Emojis & stickers)
- Choose the tab Emojis or Stickers and click Upload.
- Pick a PNG, GIF or WebP file and give it a name. Emoji names use lower-case letters, digits and
_(for exampleparty_parrot); stickers can have any short name and an emoji. - Emojis may be up to 256 KB and 256 × 256 pixels, stickers up to 512 KB and 512 × 512 pixels. Animated pictures need Community Pro or higher.
Uploads are checked for malware first and appear a moment later.
Approval. With Approval required switched on (the default), uploads of people without Manage emojis & stickers wait until a moderator approves them. The people who approve get a notification and find the waiting uploads at the top of the settings page (Approve or Reject, optionally with a reason). You see your own waiting uploads and can withdraw them.
Who may do what. Upload emojis & stickers lets people upload (with approval if it is on). Manage emojis & stickers lets people approve, rename and delete and change the approval setting. Both are in the role editor under Emojis & stickers; the default moderator roles have both. External guests and bots can use emojis but never upload them.
Plan limits. Free: 20 emojis and 5 stickers per space. Community Pro: 200 / 50. Business: 500 / 100. Enterprise: unlimited. A downgrade never deletes anything – you just cannot add more.
Soundboard (Community Pro and higher)#
The soundboard plays short sounds for everybody in a voice room – an airhorn after a win, a drum roll before an announcement.
- Playing: in a voice room click the Soundboard button in the voice controls and pick a sound. Everybody in the room hears it on their own device – it is never mixed into your microphone, so it is not part of recordings or transcripts.
- Muting it for yourself: Soundboard muted in the soundboard menu or in Settings › Audio & video › Advanced › Sound effects & soundboard switches all soundboard sounds off for you, everywhere; there is also a volume slider. When you have deafened yourself you do not hear sounds either.
- Limits: one sound every 3 seconds and at most 10 per minute per person. You need to be in the room's voice call and be allowed to speak there.
Managing sounds (Space settings › Voice & media › Soundboard). People with Manage the soundboard upload sounds: pick any audio file, trim it to at most 5 seconds and save. Coviqo converts it and evens out the volume so that all sounds are roughly equally loud. Sounds can be renamed, given an emoji, disabled (they stay in the library but nobody can play them – useful if a sound is misused) or deleted. Disabling and enabling is recorded in the audit log.
Per room. In Room settings › Voice & media › Soundboard people with Manage rooms switch the soundboard off for a single voice room or lobby (sessions follow their lobby). The soundboard is never available in meetings.
Permissions: Use the soundboard (members have it by default; it can be denied per room) and Manage the soundboard.
Plan limits. Community Pro: 30 sounds per space. Business: 100. Enterprise: unlimited. Free spaces have no soundboard.
Onboarding questions and rules#
Space admins can greet new members with a few questions and the space rules.
Setting it up (Space settings › Invites & joining › Rules & onboarding). Rules work on their own – you do not need any questions.
- Questions: up to 10 questions, each with single or multiple choice and up to 20 answers. An answer can give roles (for example "Shooter" gives the role FPS) and open rooms (private rooms become visible for that person). Only roles without moderation or administration rights can be given this way, and only rooms you may hand out yourself.
- Rules: a text that everybody must accept before they can write in the space. You can format it with Markdown (bold, lists, links). When you change the rules materially, tick Everybody must accept the rules again when saving.
- Assign roles after accepting: pick up to 5 roles that members get as soon as they accept the rules – for example a Member role that opens the community rooms. Only roles below your own highest role and without moderation or administration rights are offered; roles managed by a bot cannot be used. Members who already have the role keep it as it is.
- Remove the roles again while new rules are not accepted yet: off by default. If you switch it on and ask everybody to accept changed rules, the roles given by the rules are taken away until each member accepts the new version.
- Evaluation: shows how many members accepted the current rules, how many answered and how often each answer was picked – never who picked what.
What new members see. After joining – no matter whether via an invite, the space link, single sign-on or an approved join request – a dialog shows the rules (must be accepted if they are switched on) and then the questions (can be skipped). External guests only see the rules. Until the rules are accepted, sending messages is not possible. If the updated terms of use are waiting for you at the same time, they come first and the rules follow right after.
Reading the rules again. As long as a space has rules, you can open them any time: Rules at the top of the space overview or Rules in the space menu (… / right-click on the space). This also works for guests and for people who joined before the rules existed. If you have not accepted the current version yet, the overview shows Rules not accepted yet with Read rules – accept them there. When a guest becomes a member, the rules appear if they are not accepted yet; rules accepted as a guest give the roles for accepting the rules as soon as you are a member.
Changing your answers later. Settings › Profile › Identities & worlds – click Edit identity on the space and change your onboarding answers. Roles and rooms follow your answers; anything you had before onboarding stays.
Join codes for single rooms#
With a join code, members of the space get into a private room without anybody adding them one by one – handy for a raid group, a workshop or a project room.
- Open the room's settings › Access › Join codes (you need Invite to room in the room; the default moderator roles have it).
- Choose how long the code is valid (1 hour, 24 hours, 7 days or 30 days), whether it works once or for several people, and an optional label.
- Copy the code (for example
K7QM-4HXR) – it is shown only once.
Members enter it in the space menu (the ⋯ next to the space) under Enter code (German: Code eingeben), or open a link like /s/<space>?code=K7QM-4HXR. The code only works for members of this space – external guests use the external collaboration instead. The list shows every code with its expiry, uses and status. Revoke stops a code at once; tick Also remove the access it gave to take the room away from the people who used it. Creating, using and revoking codes is recorded in the audit log.
Space directory#
The space directory lets people find public communities. Listing a space is voluntary and every listing is reviewed by Coviqo before it appears.
Listing your space (Space settings › Public profile & directory › Directory). Choose a category and language, write a short description (10–140 characters), optionally a longer one, up to 5 tags and a banner, then Submit. You need a confirmed e-mail address. People join through your custom invite link (vanity link) or, if you have none, through a permanent invite link that Coviqo creates for the listing – so bans, join approval and member limits apply as usual. If you change the name, icon or texts of a listed space, it goes back to review. Remove from directory takes it out at any time.
Personal spaces, direct messages and spaces of organisations that do not allow outsiders cannot be listed.
Browsing. Open the directory with the Space directory link below Create space in the sidebar, or from Discover when joining a space – search, filter by category and language, and click Join. The directory is only visible when you are signed in. Report space sends a report to Coviqo's Trust & Safety team.
Importing a Discord server#
Moving a community from Discord? Import from Discord (German: Von Discord importieren) brings the structure of your Discord server into a new community space or into an existing space you manage. The entry appears in Create space and during onboarding when your platform offers it.
What comes over: categories and channels in their order (text channels become chat rooms, announcement channels announcement rooms, voice channels voice rooms with their user limit, stage channels stages, forum and media channels forums), channel topics as room descriptions, roles with colours and permissions, what roles may do in each channel (including private channels), custom emojis, the server icon and banner.
What does not come over: messages, files, threads, members and their roles, permissions given to single people, slow mode, age restriction, forum tags and role icons.
How it works
- Click Import from Discord and then Connect with Discord. Discord asks you to share your server list – Coviqo uses it only to see which servers you own or may manage (Administrator or Manage Server).
- Choose the server.
- Click Add bot: Discord opens in a new tab with your server preselected. The Coviqo import bot only asks for View Channels. Come back – the page notices the bot by itself (or click Check again).
- Choose the Destination: New space, or Import into an existing space and pick the space. Then check the preview: name, space type and visibility (new space), which categories, channels, roles and emojis to take over – every item has a checkbox, with All / None per group –, whether channel permissions are imported and whether every chat room gets a short "moved from Discord" notice. Notes explain everything that changes or cannot be taken over; the plan limits are shown too. If emojis are imported, tick I may use these emojis – custom emojis are pictures someone made, so only take over the ones you have the rights to.
- Click Create space (or Import into space). When it is done, the import bot leaves your Discord server automatically.
Importing into an existing space. You need Manage space, Manage roles, Create rooms and Manage rooms in that space. Nothing in the space is deleted or changed: categories and roles with the same name are reused where possible, channels and emojis with the same name are skipped – for each one you can choose Reuse the existing one, Create with "(Discord)" or Skip. New roles are created without members directly above the default role and below your own role, and only with permissions you may grant yourself. Apply @everyone to the default role is off here; switched on, it only removes permissions that @everyone lacks on Discord, never adds any. Icon, banner and description of the server replace the space's only if you select them. Importing the same server again later adds only what is new.
Deselecting. Deselected channels and categories are not imported; a channel whose category you deselected comes without category. If you deselect a role, its channel permissions are dropped (the preview shows in how many channels it is used) – private channels stay private.
Good to know
- Roles are created without members – hand them out again in Coviqo. Roles that had Administrator on Discord are created without administrator rights and marked Review; give them the rights you want under Space settings › Roles.
- The default role gets Coviqo's usual member permissions, minus what @everyone was not allowed to do on Discord.
- Without Import channel permissions, channels hidden on Discord become private rooms for you and admins only.
- You can import up to three servers a day; an import into a new space counts toward your plan's space limit.
