From invitation to minutes

  1. Schedule or start

Start an instant meeting or schedule one – once or as a daily, weekly or monthly series. Templates keep recurring settings.

  2. Invite

Invite members of the space, or external guests by e-mail. Guests get an invitation with a join link and a calendar entry, and join in the browser without an account.

  3. Meet

Device check, lobby, chat, shared notes, screen sharing, captions, raised hands and reactions – in the browser, the desktop app or on a phone.

  4. Follow up

Recording, transcript and AI summary appear in the meeting overview. Action items and decisions arrive as drafts that the organizer reviews and publishes.

What you can do in the call

  • Lobby and passcode – decide who waits until an organizer lets them in; lock the meeting when everyone is there.
  • Roles – organizer, co-organizer, presenter, attendee and guest. Organizers can mute, spotlight, change roles or remove people.
  • Breakout rooms – split into small groups with a timer, help requests and announcements to all rooms.
  • Polls and Q&A – anonymous polls, questions with upvotes and moderation.
  • Layouts – grid, speaker or a compact list that fits large meetings.
  • Background effects – blur or images, computed on your own device.

Recording and transcript, visible to everyone

When a recording starts, everybody sees a red banner and hears a sound, and microphones are muted by default. Each person decides whether to speak again. People who join a recorded meeting are asked first and come in with the microphone off.

Live transcription runs on speech recognition on Coviqo’s own servers. Captions can be translated per person. Anyone can opt out under Don’t transcribe my voice. New spaces keep transcripts for 90 days. More on the AI page.

Minutes, decisions and the meeting report

After the meeting the AI summary lists topics, decisions, open questions and action items, each linked to the spot in the transcript. Nothing is published automatically: organizers accept or reject the drafts. Published tasks land in the room, decisions in the decision log.

The meeting report puts cover, participants, agenda, summary, decisions, notes and – if you like – transcript and chat into one PDF. It only contains what you are allowed to see.

Where your meeting data lives

Operator

Frequently asked questions

Do guests need an account?

No. With guest access switched on, guests join with their name (and the passcode, if one is set) in the browser. Their access covers only this meeting and is deleted 24 hours after it ends.

Where are recordings and transcripts stored?

On servers in Germany. Transcription and summaries run on Coviqo’s own servers – no third-party AI service is involved.

Are meetings end-to-end encrypted?

No. Meetings are encrypted in transit and stored on servers in the EU, but they are not end-to-end encrypted. End-to-end encryption is available for the calls of end-to-end encrypted rooms (Business and Enterprise), without recording.

Can people dial in by phone?

Yes, in Business and Enterprise plans once phone dial-in is set up. Callers type the meeting PIN and join with audio only; others see only the last three digits of their number.

Which plan do I need for recording and AI?

Recording and AI transcription start with the Community Pro plan; the limits per plan are on the pricing page.
