Call flows: what happens to a call
Every number follows its call flow. You build it in a visual editor from building blocks:
- Opening hours and holidays, also from a linked calendar.
- Voice menu (“press 1 for sales”) with dialling by extension.
- Ring a person, a group (all at once or one after another) or a call queue with hold music.
- Mailbox, announcements, digit input and conditions.
- Move the caller into a voice room, or create a ticket or a chat message.
A simulator and a test call in the browser let you try the flow before you publish it. Published versions are kept, so you can roll back. Which building blocks you get depends on the plan.
Answering and calling in the app
- Incoming calls ring as a banner with the caller’s number or phone-book name; whoever answers first takes the call.
- Hold with music, blind transfer and consultation with a colleague.
- Personal call forwarding, do-not-disturb exceptions and a mailbox with your own greeting.
- Call queues with pause, after-call work and a wallboard.
- Notes and outcomes per call, missed calls shared in the team.
- Dial out with the keypad if your organisation allows calls to external numbers.
Phone and video meetings together
Callers can dial into a meeting with an 8-digit PIN and take part with audio. Organizers can add someone to a running meeting by phone, and Call me connects your mobile to the meeting. Phone participants mute and unmute with *6 and are told when a recording or transcription starts.
Optional: AI receptionist
In the Business plan, a call flow can include an AI receptionist, once it is enabled for your organisation. It runs on Coviqo’s own servers, always says first that the caller is talking to an AI assistant, answers from the knowledge you enter and forwards the call by concern – or to a person. The conversation itself is not stored.
Good to know
- Telephony and phone dial-in are part of Business and Enterprise and need a configured phone line – either numbers from Coviqo or your own SIP provider.
- Emergency calls (112, 110 …) are not possible through Coviqo. Use a regular phone.
- Phone calls are not end-to-end encrypted. They are recorded only if your organisation switched recording on – always with an announcement or the caller’s consent.
- Premium-rate numbers are blocked; destination countries, minutes and call rates are limited to protect against abuse.
Frequently asked questions
Can I bring my own phone provider?
Yes. In Business and Enterprise, organisation admins connect their own SIP trunk under Organisation › Telephony. Calls on your own trunk do not count against the plan minutes.
Do I need a desk phone?
No. Calls ring in the browser, the desktop app and – as a push notification – on your phone. USB and DECT headsets with call buttons work in the desktop app and in browsers with WebHID support.
Can callers reach a voice room?
Yes. A call flow can move the caller into a voice room, where they talk with everyone in the room by audio.
Are voicemails transcribed?
If your organisation uses transcription, voicemails are transcribed on Coviqo’s own servers and marked as created by AI. Messages are stored encrypted and deleted after 90 days.
