Team workspace with tasks, notes and files in every room

Each room has modules. People who manage the room switch them on in the room settings under Content. Every module has its own permissions, so you decide per room who may only read and who may change things.

• Tasks – a board per room, plus My tasks across all your spaces.
• Notes – shared documents that several people edit at the same time.
• Whiteboard – an infinite canvas for workshops, plans and sketches.
• Files – folders, versions, share links and a virus scan for every upload.
• Events – a calendar per room and per space, with reminders and registration.

The task board starts with the columns To do, In progress, Done and Canceled. Drag tasks between columns with the mouse, by touch or with the keyboard. A task has a title, a Markdown description, a priority, an assignee, a due date, a category and comments.

• Own columns: up to 12, for example Backlog → Review → Testing. Templates Software and Client project help you start.
• Several task lists per room as tabs, for example per sprint or per client.
• Categories such as Feature, Bug or Docs, with grouping and filters.
• An activity log per room that shows every change to every task.
• Tasks from meetings link back to the moment in the transcript where they were agreed.

Several people can write in the same note at once. Everyone sees the others’ cursors with their names, changes are merged automatically and saved without a button. Every note keeps a version history and a comment thread, and you can export it as Markdown.

Whiteboards come with templates for brainstorming, retrospectives, mind maps and weekly planning. Select sticky notes and turn them into tasks in one step. If AI is available in your space, it can group sticky notes by topic or draft a summary – always marked as AI-generated. More in the whiteboard chapter.

• Folders up to 8 levels deep, with drag and drop and folder uploads.
• Every upload and every new version is scanned for malware before anyone can open it.
• Upload a new version instead of a new file. Everyone keeps the same file and link.
• Share links for people without an account: they expire, can be revoked and can have a password.
• Documents, spreadsheets and presentations (for example DOCX, XLSX, PPTX, ODT and PDF) can be edited together in the browser where your plan includes office documents. The editor runs on Coviqo’s own servers.

Plan events for a room or a whole space. Events can repeat daily, weekly or monthly, send reminders and ask people to register, with a limited number of seats if you like. Tick Online meeting and the event gets a join link, a lobby, recording and transcript.
