Meeting minutes template

Good minutes are short. They record what was decided, who does what by when, and what is still open – not every sentence that was said.

Updated October 5, 2026

What belongs in the minutes

  • Facts of the meeting: date, attendees, who took the minutes.
  • Decisions in one clear sentence each.
  • Tasks with one owner and a due date. A task without an owner is a wish.
  • Open questions and who clarifies them.

Send the minutes on the same day. The longer you wait, the less people remember.

How to use it in Coviqo

  1. Write in the meeting notes

Paste the template into the meeting notes and fill it in during the call. Several people can edit at the same time, and changes are saved automatically.

  2. Compare with the AI summary

If your plan and space have AI summaries switched on, Coviqo creates a draft with overview, decisions, open questions and action items after the meeting. The notes feed into it. Check the draft against your minutes.

  3. Turn tasks into real tasks

Suggested tasks and decisions only become visible to others after someone confirms them – with owner and due date.

  4. Share the result

Use Download as PDF for a meeting report with the sections you choose, or Export as Markdown for the note itself. The meeting report is available on every plan.

Coviqo has no built-in note templates. Keep a pinned note with this template in the room and copy it into each new note.

Frequently asked questions

Do minutes have to record everything that was said?

No. For most teams and clubs, decisions, tasks and open questions are enough. Some organisations have stricter rules for formal meetings – check your statutes or rules of procedure.

Can the AI summary replace the minutes?

It is a draft. AI results are labelled as AI-generated and may contain errors, so a person should review them before they count as minutes.
