Welcome message template for new members

The first message a new member reads sets the tone. Say hello, point to the rules and tell people where to start – in a few lines.

What a good welcome message does

  • Greets by name. A mention feels more personal than “Hi all”.
  • Gives one or two next steps. Read the rules, introduce yourself, join a voice room.
  • Names a contact. Who helps if something is unclear?
  • Stays short. Details belong in the rules or a pinned message.

The templates

Short version (community)
Welcome to {space}, {user}!
Please read the rules first, then say hello in [#introductions].
Our voice rooms are open – just join [Voice room name].
Questions? Ask [@Moderator role] anytime.
Longer version (team or club)
Hello {user}, welcome to {space}!

Good to have you here. A few things to get started:

1. Rules: please read and accept them – you find them under "Rules" in the space overview.
2. Introduce yourself in [#introductions]: who are you, what do you do here?
3. Important rooms:
   - [#announcements] – news from [the board / the team]
   - [#general] – everything else
   - [Voice room name] – for quick calls
4. Regular meetings: [e.g. every Tuesday at 19:00 in [room]].

Your contact for questions: [Name / role].
Have a good start!

How to use it in Coviqo

  1. Set up the Welcome bot

In Space settings › Apps & integrations › Bots › Coviqo bots, choose the Welcome template. Pick a welcome room and paste the message.

  2. Use the placeholders

{user} mentions the new member, {space} inserts the space name. The templates above already use both.

  3. Give roles automatically (optional)

The Welcome bot can give every new member one or more roles. For roles people choose themselves, add the Role picker template.

  4. Combine with rules and onboarding

New members see the rules and onboarding questions right after joining, under Space settings › Invites & joining › Rules & onboarding. The welcome message then greets them in the room.

Guests are not greeted by the Welcome bot. You need the Create Coviqo bots or Manage bots permission, and each Coviqo bot counts towards your plan’s bot limit.

Frequently asked questions

Can I send the welcome message as a direct message instead?

The Welcome bot posts in the welcome room you choose. A room post is visible to everyone and helps others greet the new member too.

What is the difference between the welcome message and the rules?

Rules must be accepted before a member can write in the space. The welcome message is a friendly greeting in a room and needs no confirmation.
